An Overview of Keynote Keynote is Apple's presentation software. Very simple to use and graphically robust, Keynote can make your presentations looks more classy and professional. I will highlight some of the features of Keynote, point out some limitations and show you where you can get additional Keynote resources online. When you first open Keynote, you are asked to choose a theme and a presentation size. Currently, there are only 12 presentation themes available in Keynote. For more themes, take a look at the end of this handout for companies offering free and purchaseable themes. It is important to note here that Keynote will offer you two display size 1024x768 or 800x600. This is a limitation of Keynote whereas PowerPoint will automatically adjust the presentation to the resolution of your screen or LCD panel.
An Overview of the Keynote Workspace
1. Your slide options. This is where you can create and delete new slides as well as play your current presentation. 2. Themes: Will bring back the theme editor that your saw when you initially opened Keynote. This will allow you to change the theme of your presentation. 3. Allows you to change your view. Your choices are Navigator, Outline, Slide Only, Notes and Master Slide. This area will described in more detail later. 4. Master Slide: Allows you to alter the master slides of you current theme. You can change the font, font size, color, spacing bullet type and more. We will talk more about the Master Slide later 5. Text Box: inserts an additional text box onto your slide. You may be a little bummed to find out keynote supports only one bulleted box per slide. 6. Shapes: Allows you to place basic shapes into your presentation. We will talk more about this option later. 7. Table: Will insert and Table into your presentation. We will take more about this option later. 8. Chart: Will insert a chart into your slide. We will talk more about this option later. 9. Inspector: The most powerful area of Keynote. This contains all of your options for the main tools you will use in keynote. You will see the inspector mentioned many times as we go over the main features of Keynote 10. Colors: Allows you to change colors of text, shapes, charts, etc. 11. Text Options. Allows you to change your basic font options on a slide by slide basis. 12. Slide View. Depending on how you have configured your view, this will display your slide, outline or slide masters 13. Options: allows you to group items and change where they ordered and viewed on the slide. Views: The view button allows you to change how you view your information while working in Keynote. Changing the view changes the view of the bar on the left hand side (This screen below shows the left hand side currently has 2 slides in it, which means it is only in navigator view. Navigator: The default view, it shows the slide you currently have selected as well as thumbnail views of your other slides on the left hand side. Outline View: Show in the picture below this one, it will turn your left bar into an outline view Slide Only: Will remove the slide view on the left and will leave you viewing only the current slide. Show Notes: Show two screenshots below this one. Notes will display your notes and the bottom of Keynote's window. Show Master Slides: Shown three slides below, this will put all of the master slide templates on the left hand side. This is perfect if you want to make an overall font change to all of your slides, etc.
Master View Master View will display your slide master on an individual basis. You can also see additional options for the master slides but clicking on inspector and selecting the Master Slide View. You will find the Master Slide option listed as the first icons in the inspector (you can tell it is highlighted with a blue tint) Some of the additional options is to number your slides, show the slide title, show slide number and more.
Changing the Slide Order Changing the Slide Order is simple. Make sure you are in slide view in your options (meaning you can see a list of your slide on the left hand side). Simply click on the slide you want to move and drag it to its new location. You will see a blue line show up between the slides you want to place the slide in (example boxed in red below) let go of the mouse and your slide will be moved to its new location.
Slide Grouping Slide grouping allows you to combine your slides into groups. While this has not effect on the slide show, it provides the presenter with the ability to put their slides into topic groups. It also allows you to minimize the group so you only see the core slides of each topic group. To put a slide within a topic group simply drag it to the right. A blue triangle will show up to the right of the slide you are dragging it into. Once you let go the slide will be within a group. You can hide the slides within a group by clicking on the triangle to the left of the main slide.
Changing the text on your document You have two ways of changing the text in your document. One is Font which we already talked about. The other way is to click on the Inspector (it is hidden somewhat on this slide but cirlced) and selecting the Text option (you will notice the T in the inspector is highlighted and it showing the text options) The text options allow you to change the character spacing, the line spacing as well as the space for the bullets. You can also change the color as well as change the bullet type. The nice thing with Keynote is you can use images as bullets and customize the size of them.
Inserting a Graphic Inserting a graphic is easy in Keynote. You can either use the File Import command or simply drag the file to the slide. You can also insert Quicktime Video and Flash files using the import command or simply dragging the file to the slide. Once the file is on your presentation, you can use the Graphic inspector to add a background, shadow and even change the opacity (amount of transparency).
The Metrics Inspector If you want to change the size of your image or rotate it, no problem. Simply select the image and click on the inspector. Within the inspector, select the Metrics inspector. The icon looks like a ruler. From here you can change the size, position and rotation of the image.
(The Metrics Inspector) Shapes You can add basic shapes to your slides using the shape tool. The picture below shows the different shapes available. Once a shape is in your slide you can change its options by clicking on the shape and clicking the inspector. You will see the graphic inspector we already talked about, however, it now has additional options for the shape. You can also give your shapes an image fill, gradient fill and more.
Inserting Music It is important to note that Keynote supports Quicktime. With that in mind, it supports all the audio formats that Quicktime does. All you need to do is find the music file you want to put on the slide and drag it on. There will be a music icon on your slide that you can click on and it will play your music. Keynote is limited in that it can only play music on each slide. When you change to the next slide the music will stop playing. If you want to insert an mp3 file from iTunes and you are not sure how to find the file to drag it onto your slide, no problem. Open iTunes and right click on the song you want to place into Keynote. When you right click one of the options will be show song file. This will take you right to the folder the contains the song icon so you drag it onto your keynote slide.
Adding a Table Use the Table button in the toolbar to add a table. Once the table is added, make sure it is selected and choose the inspector. You will be taken to the table inspector. From here you can change the rows and columns, merge and split cells and rows, change the alignment, cell border background and angle.
Inserting a Chart 1. Use the Chart button on the toolbar to insert a chart. Once you click chart, a Chart Data Editor will show up. Simply click on the cells to alter or add new information to the chart. 2. Once the chart is created, you can alter it by clicking on the chart itself and selecting the Inspector from the toolbar. From here you can change the chart type, Axis, Axis value and Number format You can change the colors of your chart by clicking on the chart item and clicking color. You can also use the graphic options to change the graphics within the chart. For example, adding a gradient to the chart results.
Slide Transitions To apply transitions to your slide, click on the slide you want to apply the transition to. Click on the Inspector and select the Slide options. Once there you will see a popup menu of transitions you can apply to the slide.
Builds Builds will allow you to bring items into your slide one at a time. To create a build, click on the item you want to have build (chart item, text line, graphic, etc.) in and click on the inspector. Click on the build inspector (highlighted on the slide below). From here you can select the build style and set the order number . You can also set the direction the build come and the speed of each individual build.
